Walkthroughs generate paperwork. They shouldn't.
Facility walkthroughs are essential — but the documentation is a drag. Managers walk the floor, notice ten things, jot down three, and forget the rest. The notes that do get written are unstructured and unactionable. Nobody follows up. The same issues show up next week.
ShiftVoice eliminates this friction. Walk your space, talk through what you see, and AI turns your observations into a structured, actionable report with categorized items and assigned follow-ups.
How it works
Select "Walkthrough"
Choose the Walkthrough note type before you start recording. ShiftVoice structures your observations differently than a shift handoff or incident report.
Walk and talk
Record up to 3 minutes as you move through your facility. Mention maintenance issues, safety hazards, cleanliness observations, equipment status — anything you notice.
AI organizes everything
Your recording becomes a titled walkthrough report with categorized items (Maintenance, Safety, Cleanliness, Equipment, etc.) and priority levels (Low, Medium, High, Urgent).
Action items get assigned
AI extracts actionable follow-ups and suggests assignees from your team roster. Every observation that needs action becomes a trackable task on the Action Items Board.
What you say → What ShiftVoice produces
"Walking through the dining area. Table 6 has a wobbly leg — it's been like that for a week, somebody needs to tighten it. The restroom near the bar needs attention, the soap dispenser is empty and the floor is wet. Back hallway light is flickering again. The patio furniture looks good after yesterday's cleaning. Oh, and the emergency exit sign above the kitchen door is out — that's a safety issue, needs to be fixed today."
Dining Area Walkthrough — Safety Issue, Maintenance Needed, Restroom Attention
- Safety: Emergency exit sign out above kitchen door (Urgent)
- Maintenance: Table 6 wobbly leg, ongoing (Medium)
- Maintenance: Back hallway light flickering (Medium)
- Cleanliness: Restroom soap dispenser empty, wet floor (High)
- Operations: Patio furniture in good condition (Low)
Action Items:
- Replace emergency exit sign bulb — assigned to Maintenance (Urgent)
- Refill restroom soap dispenser and dry floor — assigned to Cleaning (High)
- Tighten Table 6 leg — assigned to Maintenance (Medium)

Three note types for three situations
Shift Note
End-of-shift handoff covering everything the next team needs to know. The default for most recordings.
Incident
Focused report on a specific event — safety incident, customer complaint, equipment failure. Structured for detail and follow-up.
Walkthrough
Area-by-area observations from a facility walk. Structured for spatial context with maintenance, safety, and cleanliness categories.
Industry examples
Hotels: Walk the lobby, guest floors, and back-of-house. Capture maintenance requests, housekeeping issues, and guest-facing problems in one recording.
Restaurants: Pre-shift walkthrough of dining room, kitchen, and storage. Flag cleanliness issues, equipment status, and setup completeness.
Retail: Store opening or closing walkthrough. Document display conditions, signage, security concerns, and cleanliness across departments.
Manufacturing: Floor walkthrough to check equipment status, safety compliance, housekeeping, and workstation organization.
Property Management: Property inspection walkthrough. Document unit conditions, common area maintenance, and safety compliance items.
Export for compliance
Every walkthrough can be exported as a branded PDF or plain text file — share via email, Messages, AirDrop, or Slack. Build a documented history of facility inspections for compliance, insurance, or management review.
