ShiftVoice ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and share information when you use the ShiftVoice mobile application and website (shiftvoice.app).
Information We Collect
Account information
When you create an account, we collect your name, email address, and organization details (company name, industry, role). If you sign in with Google, we receive your name and email from Google. We do not access your Google contacts, calendar, or other data.
Voice recordings and transcriptions
When you record a shift note, your voice recording is transcribed using on-device speech recognition. The transcription, along with AI-generated categories, tasks, and summaries, is stored securely in the cloud. Voice recordings themselves may be stored temporarily for transcription accuracy and are deleted after processing.
Usage data
We collect anonymized usage analytics to improve the product. Such as feature usage frequency, session duration, and crash reports. We do not track your location or sell usage data to third parties.
How We Use Your Information
- To provide the ShiftVoice service: transcription, categorization, task extraction, team management, and shift handoff delivery.
- To improve product quality and fix bugs using anonymized analytics.
- To send transactional emails (account verification, password reset, billing).
- To respond to support inquiries.
We do not use your voice recordings or transcriptions to train AI models. We do not sell, rent, or share your personal data with third-party advertisers.
Data Storage and Security
All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Our cloud infrastructure uses industry-standard security practices including row-level security to ensure no user can access another organization's data. We conduct regular security audits.
Third-Party Services
- Google Sign-In: For authentication only. We receive your name and email.
- Apple: For app distribution and in-app purchases.
- Cloud hosting: For data storage, using providers that comply with SOC 2 standards.
Data Retention
Your shift notes, transcriptions, and account data are retained for as long as your account is active. When you delete your account, all associated data is permanently deleted within 30 days.
Your Rights
You have the right to:
- Access: Request a copy of your data.
- Correction: Update inaccurate information.
- Deletion: Request deletion of your account and all data.
- Export: Download your shift notes and transcriptions.

Cookies
The ShiftVoice marketing website (shiftvoice.app) uses minimal cookies for basic analytics. We do not use third-party tracking cookies, retargeting pixels, or advertising cookies. The mobile app does not use cookies.
Children's Privacy
ShiftVoice is not intended for individuals under the age of 13. We do not knowingly collect personal information from children.
Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on this page and updating the "Last updated" date.
